My Troop · Last updated September 24, 2026
My Troop is a private app for the families of a youth troop or club. It is made by WLCM App Studio LLC ("we"); each troop inside it is run by its own troop leader, a volunteer, who decides who is invited. This page explains in plain English what the app collects, why, who can see it, and how to get it removed.
Short version: we collect only what a troop needs to run — who the parents are, their children's first names, the photos and messages families choose to share, and payment records for dues. Nothing is sold. There are no ads. Children never have accounts.
Who is responsible
WLCM App Studio LLC makes and hosts the app; your troop leader runs your troop inside it and is the person to contact about your data. Contact details are in the app under More → About, and at the bottom of this page.
What we collect and why
| What | Why | Where it comes from |
|---|---|---|
| Guardian name, email, phone (optional) | To invite you, sign you in, and let the troop leader reach you | Entered by the troop leader when adding you to the roster; you can edit your own name and phone |
| Your child's first name and photo-permission answer | So events and payments are attached to the right family, and so the troop leader knows whether you are comfortable with photos of your child being shared inside the troop | The troop leader adds the first name; you set the photo-permission answer |
| Photos and videos you upload | The troop gallery, visible only to signed-in troop families | You, when you choose to share them |
| Chat messages and reactions | The troop group chat | You, when you post |
| Payment records (what was charged, what was paid, when, a Stripe receipt link) | Troop finances and the troop's year-end records | Created when you pay dues or fees; card numbers are never sent to or stored by us — Stripe handles them |
| Push notification token | So the app can notify you about schedule changes and new messages | Your phone, when you allow notifications |
| Troop plan and billing status (plan name, renewal date, a Stripe customer reference) | So the app knows which features the troop has; card details for the troop's plan are entered on Stripe's own checkout page, never in the app | Created when a troop leader chooses a paid plan |
| Calendar-subscription token | So your phone's calendar can stay up to date with troop events | Created when you tap "Add all events" |
| Crash reports (device model, OS version, what the app was doing when it crashed) | To fix bugs. Only collected if crash reporting is turned on for the app; never includes message text, photos, or money | Your phone, automatically, only when the app crashes |
| Sign-up attempts (email and IP address, kept for rate-limiting) | To stop someone guessing which emails are on the roster | The sign-up screen |
| An audit log of roster, schedule, and finance changes made by the troop leader | Accountability for troop records | Created automatically |
We do not collect your location. Location data embedded in photos (EXIF) is removed on your phone before a photo is uploaded. Videos are uploaded as recorded; see "Things to know" below.
Children
Every account belongs to an adult guardian. Children do not sign in, do not post, and are not asked for any information. The only information about a child stored in the app is their first name (and last name, if the troop leader adds it) and your photo-permission answer, both entered by adults. Photos of children exist in the app only because their parents or other troop families chose to share them, and are visible only to signed-in troop families.
Who can see what
- You can see the troop calendar, the group chat, the gallery, the troop's overall balance, and your own family's charges and payments.
- Other troop families can see the calendar, chat, gallery, your name (next to your messages and uploads), and the troop balance. They cannot see your email, phone number, or your family's payments.
- The troop leader can see everything above, plus the roster (names, emails, phones, first names of children, photo-permission answers), every family's charges and payments, the finance ledger, and the audit log.
- Nobody outside the troop can see anything. There are no public links. The one exception is the "event link" fallback: if someone taps a troop event link without the app installed, a web page shows the event's title and date only — never the location or any personal information.
Service providers
The app runs on a small number of services that store or process data on our behalf. Each is bound by its own privacy terms and only sees what it needs to:
- Supabase — hosts the database, sign-in, and the private photo storage.
- Stripe — processes card payments. Your card details go straight to Stripe; we receive only a confirmation, the amount, and a receipt link.
- Expo — delivers push notifications to your phone and builds the app.
- Apple and Google — provide the app stores and notification delivery on their platforms.
- Sentry (only if crash reporting is turned on) — receives crash reports.
We do not sell personal information, we do not share it for advertising, and we do not use advertising or tracking SDKs.
How long we keep things
- Roster, chat, photos, and finance records are kept for as long as the troop uses the app. Finance records are also kept as long as the troop's organization requires financial records to be retained.
- When a family leaves the troop, the troop leader removes their access. Their past messages and photos stay in the troop's records and are shown as "Former member". Ask the troop leader if you want specific items removed.
- Sign-up attempt records are only used for the last hour's rate-limiting and can be cleared at any time.
Your choices and rights
- See or correct your information: your own name and phone are editable under More → Settings → Account. For anything else, ask the troop leader.
- Notifications: turn them off per topic in Settings → Notifications, or in your phone's settings.
- Photo permission: change your answer any time in Settings → Account.
- Delete your account: More → Settings → Account → Delete account. This deletes your sign-in immediately. Your past messages and uploads remain in the troop's records labelled "Former member" (so the chat history still makes sense for others); ask the troop leader to remove specific items.
- Delete your family's data entirely: contact the troop leader. Finance records may need to be kept for the troop organization's retention period; everything else can be removed.
California residents
If you live in California, the CCPA/CPRA gives you the right to know what personal information we hold about you, to have it deleted, to correct it, and to not be discriminated against for exercising those rights. We do not sell or "share" (for cross-context advertising) personal information, so there is nothing to opt out of. To exercise a right, contact the troop leader; we will verify you by the email on the roster and respond within 45 days.
Security
Data is stored in a database with row-level access rules, so each family can only read what belongs to them. Photos live in private storage and are served through short-lived links. Sign-in requires a verified email that the troop leader has invited, and you can add Face ID / fingerprint lock in Settings. No system is perfectly secure; if we ever learn of a breach affecting your data we will tell you promptly.
Things to know
- Videos keep their metadata. Photos have location data stripped before upload; videos currently do not, so the app asks before any video is uploaded and lets you skip it. If you would rather not share a video's metadata, record it with location services off for the camera app.
- One troop leader. The troop leader is the only administrator and can see everything listed above. That is how the troop works today.
Changes to this policy
If this policy changes in a way that matters, you will see a note in the app. The date at the top always shows the current version.
